Pre-Event Checklist


In Advance:

  1. Submit Room and A/V Form (be sure to include specific set up information)
  2. Linen: Food, panel or meeting room tables must be covered with linen provided by Restaurant Associates or sponsoring organization.
  3. Catering: Place your catering order even if you don’t have your room assignment. List location as TBD.
  4. Media Services: If you weren’t aware of your AV requirements when you submitted the original room request form, please submit your audiovisual request directly to Media Services via the Non-class A/V Request Form.

Day Of:

  1. Check the room to ensure everything you’ve prearranged is as requested including room set up, AV, catering, and linen.
  2. Room Set Up (lights, temperature, access & set up)
  3. Have emergency contact list and room confirmation on hand.

Emergency, After Hours & Weekend Contact Information:

  • Dial 911 in the event of a security, fire or medical emergency
  • HUPD Non-Emergency (617-495-1215): Please call the HUPD if a room or building needs to be unlocked or locked.
  • HU Operations Center (617-495-5560): Please call HU Operations if a room is too hot or too cold.
  • Media Services After Hours Emergency Line (617-799-5126): Please call this emergency line during the hours of 5-9pm (Monday-Friday) and 9am-4pm (Saturday)
  • Restaurant Associates (617-495-5538): Please call prior to event for after-hours contact information.
