Pre-Event Checklist


In Advance:

  1. Submit Room and A/V Form (be sure to include specific set up information)
  2. Linen: Food, panel or meeting room tables must be covered with linen provided by Restaurant Associates or sponsoring organization.
  3. Catering: Place your catering order even if you don’t have your room assignment. List location as TBD.
  4. Media Services: If you weren’t aware of your AV requirements when you submitted the original room request form, please submit your audiovisual request directly to Media Services via the Non-class A/V Request Form.

Day Of:

  1. Check to make sure the room is unlocked.
  2. Also check:
    • Room Set Up (as prearranged with Events office)
    • Lights
    • Room Temperature: Call HLS Facilities (617-495-5521) between 9am-5pm to request temperature adjustment.
    • Linen
    • Media Services
    • Catering
  3. Have emergency contact list and room confirmation on hand.

Emergency, After Hours & Weekend Contact Information:

  • MEDICAL EMERGENCY - Dial 911 
  • Security, theft, other emergency - HUPD Emergency (617-495-1212)
  • Lock/Unlock - HUPD Non-Emergency (617-495-1215): An Allied Barton Security guard will be dispatched to meet you.
  • Temperature Adjustment - HU Operations Center (617-495-5560)
  • AV Needs - Media Services (617-799-5126) 
  • Linen or Catering - Restaurant Associates (617-866-1205)
