Moving Email From your Local Folders to Exchange

With Exchange there is a quota of 250MB. This means that for most people moving all of their local folders to Exchange may not be possible as their local folders may exceed this limit. What is possible, however, is to move either specific folders or move specific emails into new Exchange folders. To move a local folder to Exchange, simply right-click on the folder and select Move "Folder Name". Choose a new location under your Exchange mailbox and then click OK. Please make sure this folder is well under the 250MB quota. To find the size of a folder, right-click and select Properties and then click Folder size.

People also have the option of moving specific emails that fall within a certain timeframe. The following information details how to move email from your local folders that was received within the past month into Exchange. These emails will now be accessible from anywhere with an internet connection and Internet Explorer.

  1. Right-click on "Local Folders" and click on the "Advanced Find".
  2. In the Advanced Find window, click the "Advanced" tab.
  3. Click the Field button, and choose "Date/Time fields" and then select "Received".

  1. In the "Condition" field, choose "on or after". In the "Value" field enter an appropriate date (i.e. one month ago).

  1. Click Find Now. All mail within the time frame entered above will now appear in one list.
  2. The list will show which folder the mail is in. Sort the list by this column.

  1. Create the same folder in your Exchange mailbox (if it does not exist already).
  2. Highlight all the mail from that folder, and then drag those item to the folder created on the Exchange mailbox.
